Google Workspace plan upgrades are one of the most common requests Cloudfy Systems receives from existing customers. A team that started on the Base plan two years ago may now need Gemini AI. A growing business on Starter is running out of the 30 GB pooled storage. An organisation that regularly records video meetings is on a plan that does not support recording.
Upgrading your Google Workspace plan in India is straightforward — but the timing, billing implications and what actually changes when you upgrade are worth understanding before you make the move.
The Four Google Workspace Plans in India — 2026
Google Workspace has four plans available in India. Understanding what separates them is essential for knowing when an upgrade makes sense.
| Plan | Price (annual) | Key addition |
|---|---|---|
| Base | ₹99/user/month | Entry-level — email, Drive, Meet, no AI |
| Starter | ₹270/user/month | Gemini AI included in Gmail, Docs, Meet |
| Standard | ₹864/user/month | 2 TB storage, meeting recording, eSignature |
| Enterprise | By quotation | 1,000-person Meet, DLP, S/MIME encryption |
When to Upgrade from Base to Starter
The Base plan was designed for very small businesses — teams of up to 20 users — that need professional email and basic collaboration without AI features. If any of the following are true for your business, upgrading to Starter is worth doing now rather than waiting for renewal.
Your team is asking about AI tools. The biggest practical reason to move from Base to Starter is Gemini AI. On Starter, every user gets an AI assistant inside Gmail (draft, summarise, smart reply), Docs (write, rewrite, research), Meet (real-time captions, translated captions) and Sheets (formula suggestions, data analysis). NotebookLM — Google's document-based research assistant — is also included. These are not add-ons. They are part of the Starter plan at ₹270/user/month.
Your team has grown beyond 20 users. Base supports a maximum of 20 users. If you have crossed this limit or expect to cross it soon, you need to be on at least the Starter plan, which supports up to 300 users.
Your storage is filling up. Base provides 20 GB pooled storage across all users. For a 10-user team, that is 2 GB average per user — easily consumed by email with attachments, shared Drive files and Google Meet footage. Starter provides 30 GB pooled, which gives meaningfully more headroom.
Cost difference: ₹171/user/month. For a 10-user team, that is ₹20,520/year additional — for Gemini AI, higher user limit and more storage.
When to Upgrade from Starter to Standard
Starter is the right plan for most Indian SMBs. Standard becomes the better choice when specific operational needs arise.
You need to record client meetings. Google Meet recording is not available on Starter. Standard includes recording directly in the Meet interface — recordings save automatically to Drive. If your team runs client calls, training sessions or board meetings and wants a record, Standard is the only plan below Enterprise that includes this.
Your storage is consistently full. Standard provides 2 TB pooled storage — compared to 30 GB on Starter. For businesses that work with large files (CAD drawings, video files, project archives, large data sets), this is a significant practical upgrade.
You need eSignature for documents. Google Workspace eSignature (built into Google Docs and Drive) is included in Standard. If your business sends contracts, vendor agreements, HR documents or client sign-offs and currently uses a separate eSignature tool, Standard consolidates that into your existing subscription.
You want up to 150 participants in Meet. Starter supports 100-person meetings. Standard extends this to 150 with additional features including noise cancellation for cleaner audio in shared spaces.
Cost difference: ₹594/user/month above Starter. For a 10-user team, that is ₹71,280/year above Starter costs. Evaluate this against the cost of a separate recording tool or eSignature service.
How Plan Upgrade Billing Works in India
If you upgrade mid-cycle (before your annual renewal date), Google applies pro-rated billing. This means:
- You are charged the difference in plan price for the remaining days in your current annual cycle
- The pro-rated charge is calculated per day based on the price difference between your current plan and the new plan
- From the next annual renewal date, you pay the full new plan rate for the entire year
Example: If you are 6 months into an annual Starter subscription (₹270/user/month) and upgrade to Standard (₹864/user/month), the pro-rated charge for the remaining 6 months of the cycle is approximately ₹594/user/month × 6 months = ₹3,564 per user for the mid-cycle upgrade, plus the full Standard rate from the next renewal.
The cleanest time to upgrade is at renewal — the new plan rate applies from the start of the new annual cycle with no pro-rated calculations.
How Cloudfy Systems Handles Plan Upgrades
If your Google Workspace is managed through Cloudfy Systems, you do not need to navigate the admin console to change your plan. Contact us by phone or WhatsApp and our team handles the upgrade in the reseller console.
We confirm the pro-rated charge in writing before processing — you see exactly what the mid-cycle upgrade costs before we make any change. A GST-compliant invoice is issued the same day.
For upgrades at renewal time, we integrate the plan change into the renewal process so that the new plan takes effect cleanly at the start of the new annual cycle with a single invoice covering the full year.
What Changes When You Upgrade
When your plan upgrades on Google Workspace, the change is live within minutes. There is no downtime, no email disruption and no migration of data.
Base → Starter: Gemini AI features appear in Gmail, Docs, Meet and Sheets for all users. NotebookLM becomes accessible. Storage limit increases from 20 GB to 30 GB pooled. The 20-user limit is removed.
Starter → Standard: Meeting recording becomes available in Google Meet for all users. Storage increases from 30 GB to 2 TB pooled. eSignature appears in Google Docs and Drive. Meeting participant limit increases from 100 to 150.
Existing email, files, contacts, calendar events and admin settings are completely unaffected by a plan upgrade.
Frequently Asked Questions
Can I upgrade just some users and keep others on a lower plan?
No — Google Workspace plans apply to the entire organisation. All users in an account are on the same plan. You cannot mix plans within a single Google Workspace account.
Can I downgrade my plan after upgrading?
Yes, but downgrading mid-cycle is not usually advisable because you lose access to features immediately and do not receive a pro-rated refund for the unused portion. The best approach is to evaluate plan fit at renewal and downgrade at that point.
Is there a free trial available before upgrading?
Google Workspace does not typically offer free trials for mid-cycle upgrades. However, Cloudfy Systems can provide a demo walkthrough of Gemini AI and Standard features before you commit to an upgrade, so you can evaluate the features against your actual workflows.
How long does the upgrade take to process?
Plan upgrades processed through Cloudfy Systems typically take effect within 1 to 4 hours. Users will see new features — such as Gemini AI or Meet recording — appear in their Google Workspace interface without needing to log out or take any action.
What if I want to upgrade and also add users at the same time?
This is the most common scenario and is handled in a single upgrade process. We confirm the new plan, the new user count, the pro-rated charge for both changes and issue one invoice covering everything.
