Video conferencing platform migrations are deceptively disruptive. Unlike swapping a firewall or email gateway, a conferencing platform affects every person in the organisation — from the CEO's board calls to the intern's daily standup. Done incorrectly, you get two weeks of "which app are we using today?" and confused vendors joining the wrong link. Done correctly, the switch happens over a planned weekend and Monday morning everyone is on Zoom without friction.
This guide covers the complete migration to Zoom Workplace from Cisco Webex, Microsoft Teams, GoToMeeting, or any legacy video conferencing platform — including account provisioning, user communication, device and room system transition, and post-migration validation.
Why Indian Organisations Are Moving to Zoom
The most common migration drivers in India in 2026:
AI Companion at no extra cost. Zoom includes AI Companion — meeting summaries, action items, smart chat compose, and catch-up recaps — in every paid plan from Pro upward. Microsoft Teams AI features (Copilot) require an M365 Copilot add-on licence at approximately ₹2,600/user/month additional. Pre-Migration Planning
Map Your Current Usage
Before touching any accounts, understand how your current platform is actually used:
- Meeting types: Internal meetings, external client calls, webinars, all-hands, training sessions, interview calls
- Meeting room hardware: How many physical rooms have dedicated video conferencing hardware? What brand/model?
- Integrations: Calendar integrations (Outlook, Google Calendar), CRM (Salesforce, Zoho), helpdesk systems, LMS
- Recording storage: Where do current meeting recordings live? Cloud storage in Webex/Teams? How much data?
- Persistent chat channels: Teams has persistent channels with significant history. Zoom Team Chat has channels but Teams channel history cannot be automatically migrated.
- Number of users: Total licensed users on the current platform
Define Your Cutover Strategy
Two approaches depending on your organisation's risk tolerance:
Hard cutover (recommended for most organisations): Pick a cutover date. On that date, all users switch to Zoom. The old platform is deactivated or put in read-only mode within 1–2 weeks. Simpler to communicate, simpler to manage.
Parallel run (for large or complex organisations): Run both platforms simultaneously for 2–4 weeks. Teams can migrate at their own pace. More flexible but creates the "which app?" confusion the migration should eliminate. Use parallel run only if you have genuinely heterogeneous user groups with different timelines.
Identify Dependencies That Need Early Attention
- Meeting room hardware — needs its own migration track (see below)
- Recurring meetings — scheduled in the old platform need to be re-created in Zoom
- External participants — clients, vendors, partners who join your meetings need advance notice
- Webinar registrations — if you have upcoming webinars with registrations in Webex/Teams, these cannot be automatically transferred; attendees need new Zoom registration links
Account Setup — Zoom Workplace
Step 1 — Provision Your Zoom Account

Step 3 — Configure Account-Level Policies
In Zoom Admin Portal → Account Management → Account Settings, configure your baseline policies before provisioning users:
Security policies:
- Require passwords on all meetings — enable (prevents uninvited participants)
- Enable Waiting Room by default — turn on for external meetings, turn off for internal-only meetings
- Require authentication for meeting participants — enable for internal meetings (participants must sign in to Zoom)
- Allow hosts to report participants — enable
- Disable Join Before Host for external meetings
Recording policies:
- Cloud recording: enable for Business plan and above
- Local recording: allow or restrict based on your data policy (IT-managed devices: allow; BYOD: consider restricting)

Step 4 — Create User Groups
In Zoom Admin Portal → User Management → Groups, create groups matching your organisational structure. Groups allow you to apply different policies to different teams — e.g., allow recording for sales but restrict for support, or enable large meeting add-on only for webinar hosts.
User Migration — Provisioning and Onboarding
Bulk User Provisioning
Via CSV import:
- Export your user list from the existing platform (email addresses, display names, departments)
- In Zoom Admin Portal → User Management → Users → Import via CSV
- Upload the CSV — Zoom sends invitation emails to all users
Via SSO auto-provisioning: If SSO is configured with auto-provisioning, users are created in Zoom automatically on first login — no manual import needed.

User Communication — Do This Early
Send a communication to all users two weeks before cutover covering:
What's changing:
- Zoom is replacing [current platform] from [date]
- All future meeting invitations will have Zoom links
- Team Chat will move to Zoom Team Chat
What users need to do:
- Download the Zoom desktop app: zoom.us/download
- Sign in using company SSO (if enabled) or their work email address
- Download the Zoom mobile app for iOS/Android
What they don't need to do:
- Create a Zoom account manually (their account is provisioned by IT)
- Pay for anything
Support contact: Provide an IT contact or WhatsApp number for questions during the first week.
Send a reminder the day before cutover and a "Zoom is live" message on cutover day.
Handling Recurring Meetings
Recurring meetings scheduled in the old platform need to be re-created in Zoom. Options:
Self-service: Ask all users to delete their old recurring meetings and create new ones in Zoom after cutover. This works for small teams.
IT-assisted for critical meetings: For board meetings, all-hands, client calls, and other high-stakes recurring meetings, have IT (or Cloudfy) create the Zoom equivalents, update the calendar invitations, and notify participants before cutover.
External participants: Any recurring meetings that include clients or vendors need special attention — send personalised communications with the new Zoom link, as these participants won't be notified by any system automatically.
Migrating from Specific Platforms
From Cisco Webex
What transfers well:
- User accounts (provision via CSV export from Webex Control Hub)
- Meeting policies (recreate in Zoom Admin — the concepts map closely)
What does not transfer:
- Webex meeting recordings — these stay in Webex cloud storage until the subscription expires. Download critical recordings before cancellation.
- Webex Spaces (team spaces with persistent chat history) — Zoom Team Chat channels start fresh; historical Webex Space messages cannot be imported.
- Webex Room Series hardware — see hardware section below.
Webex-specific consideration — Webex Calling: If you also use Webex Calling (cloud calling), migrating to Zoom Phone requires number porting. From Microsoft Teams
What transfers well:
- User accounts (all M365 users already have email — provision via SSO or CSV)
- Calendar integration (Zoom integrates with Outlook calendar natively)
What does not transfer:
- Teams channel messages and files — Teams channel history stays in SharePoint/Exchange. Zoom Team Chat channels start fresh.
- Teams meeting recordings — stored in OneDrive/SharePoint. Download or archive before Teams is deactivated.
- Teams Rooms hardware — Microsoft Teams Rooms devices cannot run Zoom. They need to be re-imaged with Zoom Rooms software or replaced with Zoom-compatible hardware.
Critical note on M365 integration: Zoom integrates with Microsoft 365 via the Zoom for Outlook add-in — users schedule Zoom meetings directly from Outlook. Install this add-in across your organisation before cutover so that the default "Add Video Conference" button in Outlook inserts a Zoom link rather than a Teams link.
In M365 Admin Centre, you can set Zoom as the default conferencing solution so new meetings default to Zoom automatically.
From GoToMeeting / GoToWebinar
GoToMeeting is a legacy platform with a straightforward migration:
- Export user list from GoToMeeting admin
- Provision in Zoom via CSV or SSO
- GoToWebinar registrations cannot be transferred — create new webinars in Zoom and re-send registration links to attendees
- GoToMeeting recordings are downloaded locally — back these up before cancellation as there is no cloud archive transfer
From Google Meet (via Google Workspace)
Google Meet is included in Google Workspace — migrating to Zoom does not mean cancelling Google Workspace. Most Indian organisations that move to Zoom keep Google Workspace for email and Docs but use Zoom for video meetings.

This is the most complex part of a conferencing migration.
Zoom Rooms — Software Licence for Any Room
Zoom Rooms is a software licence (~₹4,120/room/month) that turns any room with standard AV hardware into a Zoom-enabled meeting room. Zoom Rooms supports:
- Windows-based room systems (Intel NUC, mini PC running Windows 10/11)
- Mac-based room systems (Mac Mini or MacBook connected to display and camera)
- Zoom-certified hardware from Poly, Logitech, Yealink, DTEN, and others
Migrating Cisco Webex Room Series Hardware
Cisco Webex Room Series devices (Webex Board, Webex Room Kit, Room Kit Mini) cannot run Zoom Rooms software natively — they are Cisco-proprietary and require Webex Control Hub.
Options:
- Keep them on Webex: If you need to keep some rooms on Webex for Cisco ecosystem compatibility, you can run a hybrid. Rooms stay on Webex; desktops move to Zoom.
- Replace with Zoom-certified hardware: Purchase Zoom-certified room systems (Logitech Rally Bar, Poly Studio, DTEN D7X) that run Zoom Rooms natively. These are available from Cloudfy in India.
- Use SIP/H.323 dialling from Webex devices into Zoom: Zoom supports SIP/H.323 calls (CRC add-on) — Cisco room systems can dial into Zoom meetings via SIP. Not ideal for daily use but useful during a transition period.
Migrating Microsoft Teams Rooms (MTR) Hardware
MTR hardware (Surface Hub, Crestron, Poly TC8, Yealink MVC series in Teams mode) can sometimes be re-imaged to run Zoom Rooms:
- Poly devices: many Poly MTR devices support dual-mode — they can run both Teams and Zoom Rooms; check the specific model
- Logitech: most Logitech MTR kits can be re-imaged to Zoom Rooms
- Surface Hub: cannot run Zoom Rooms (Windows 10 Teams integration only)

Post-Migration Validation Checklist
Complete these checks the week after cutover:
User access:
- All users can sign in to Zoom (via SSO or email/password)

- Zoom app is installed on all corporate-managed devices (via MDM push)
Meeting functionality:
- Schedule a test meeting — confirm Zoom link appears in calendar invite

- Test screen sharing from Windows and Mac

How long does a full Zoom migration take for a 100-person company? Allow 2–3 weeks end-to-end: one week for account setup and user provisioning, one week for user communication and parallel app installation, one week of parallel running (optional), then cutover. The actual cutover event takes 1–2 hours. Hardware room migration runs on a separate parallel track and may take longer depending on hardware decisions.
Can we keep Microsoft Teams for internal chat but use Zoom for meetings? Yes, and many Indian organisations do exactly this — especially those on M365 Business plans where Teams is included.
