Zoom Rooms converts a standard meeting room into a dedicated Zoom conferencing space. Rather than asking participants to connect their laptop every time, a Zoom Rooms device manages the room — join your scheduled Zoom meeting in one tap, share content wirelessly, and give remote participants a consistent view of the room.
This guide covers Zoom Rooms for Indian offices — hardware, licensing, setup and INR costs.
What Is Zoom Rooms?
Zoom Rooms is a software system that runs on a dedicated computer in a meeting room, connected to a camera, microphone, speaker and a controller tablet. It integrates with the Zoom calendar so that any meeting scheduled in the room appears on the room controller — and participants join with a single tap.
Key difference from regular Zoom on a laptop:
- The room has its own Zoom account (a Zoom Rooms licence) — not tied to any individual user
- The dedicated hardware is always on and ready, no need for anyone to plug in a laptop
- Remote participants see a consistent camera view regardless of who is in the room
- The touchpad controller on the table manages all room functions
Zoom Rooms Licensing
Zoom Rooms requires a Zoom Rooms licence per room. This is separate from individual Zoom user licences.
Zoom Rooms pricing (India):
- Approximately ₹1,500 – ₹2,000 per room per month (varies by subscription term and volume)
- Annual subscription is significantly cheaper than monthly
What the Zoom Rooms licence includes:
- Full Zoom meeting capabilities from the room device
- Zoom Rooms Controller app (on a tablet)
- Zoom Rooms Scheduler (room booking display outside the room)
- Zoom Smart Gallery — AI that shows each in-room participant in their own video tile for remote participants
- One-touch join for all Zoom meetings scheduled for that room
- Remote management via Zoom web portal
What is NOT included:
- Hardware (camera, microphone, speaker, compute device, display)
- Zoom Webinar capability (requires Webinar add-on)
- PSTN calling (requires Zoom Phone add-on)

Zoom Smart Gallery — Why It Matters
Smart Gallery is a Zoom Rooms feature that uses AI to detect individual faces in the room and create a separate video tile for each person — as if they were joining remotely on their own laptop.
Why this matters for Indian hybrid meetings:
- Remote participants feel more included — they see each person's face, not a group shot
- Reduces the "all in one box" effect where remote participants miss nonverbal cues from in-room attendees
- Works with certified Zoom Rooms cameras that support smart gallery (Logitech Rally Bar, select Poly cameras)
Smart Gallery is included with the Zoom Rooms licence — no additional cost.

Frequently Asked Questions
How much does Zoom Rooms cost in India? The Zoom Rooms licence is approximately ₹1,500–₹2,000 per room per month (annual subscription). Hardware cost is separate — Cloudfy Systems provides INR quotes for all Zoom-certified hardware with GST invoicing.
Can Zoom Rooms run on an iPad or laptop instead of dedicated hardware? Zoom Rooms software requires a dedicated device — it runs in kiosk mode and cannot be shared with a general-purpose computer. An iPad can serve as the controller (touchpanel), but a separate compute device (Windows PC, Mac Mini, or purpose-built device) is required for the main Zoom Rooms system.
Does Zoom Rooms require a dedicated internet connection? No separate line needed, but the room device should be on a reliable, wired ethernet connection with QoS configured. Minimum recommended bandwidth: 10 Mbps per room for 1080p video conferencing.
Can Zoom Rooms join Google Meet or Microsoft Teams calls? Zoom Rooms can join Zoom meetings natively. Joining Teams or Google Meet requires the "direct guest join" feature (requires the external host to enable it) or connecting a laptop via USB to the room's camera and microphone as peripherals.
How many Zoom Rooms can one Zoom account support? Unlimited — each room has its own Zoom Rooms licence but is managed under a single organisation's Zoom account. Zoom's web portal shows all rooms in a centralised dashboard.
