Every new employee who needs a company email address, access to Microsoft Teams, OneDrive or the Office desktop apps requires a Microsoft 365 licence. Adding users to an existing Microsoft 365 subscription in India is a common task — and unlike some other cloud platforms, Microsoft 365 gives businesses flexibility to mix plans within the same tenant.

This guide explains how licence additions work, what they cost, and how the process runs when managed through an authorised Microsoft partner.


How Licences Work in Microsoft 365

Microsoft 365 is licensed per user. Each person who needs access to Microsoft 365 services — email, Teams, OneDrive, Office apps — must have an assigned licence. When you initially set up Microsoft 365, you purchase a set number of licences. As you hire new people, you purchase additional licences for each new user.

Your total annual cost scales with licence count: 10 users on Business Standard at ₹770/user/month costs ₹9,240/year per user (₹92,400 total). Adding 5 more users brings it to 15 users and ₹1,38,600/year.


Licence Cost by Plan When Adding Mid-Cycle

Business Basic — ₹145/user/month

Adding one Business Basic user mid-cycle is billed pro-rated for the remaining days in the current annual cycle.

Example: 8 months into the cycle, adding one user = ₹145 × 4 remaining months = ₹580 + 18% GST = approximately ₹684 for this user to join the current cycle.

Business Standard — ₹770/user/month

Example: 8 months into cycle, adding one user = ₹770 × 4 months = ₹3,080 + GST = approximately ₹3,634.

Business Premium — ₹1,830/user/month

Example: 8 months into cycle, adding one user = ₹1,830 × 4 months = ₹7,320 + GST = approximately ₹8,638.

In all cases, at the next annual renewal, all users renew together at the full annual rate on a single invoice.


Microsoft 365 Allows Mixed Plans in One Tenant

A key advantage of Microsoft 365 over some competing platforms is that you can assign different plans to different users within the same organisation.

Common mixed-plan setups in Indian businesses:

  • Management and knowledge workers on Business Standard (need desktop Office apps) and support or operations staff on Business Basic (need email and Teams only)
  • IT administrators and finance team on Business Premium (need Defender and Intune) with all other staff on Business Standard
  • Office-based employees on Business Standard and field/frontline workers on Microsoft 365 F3 (₹665/user/month with Teams — designed for shift workers)

This flexibility means you do not need to put every user on the highest plan in your organisation. When adding a new user, you choose which plan that specific user is on, regardless of what other users are assigned.


Adding Users at Renewal vs Mid-Cycle

At Renewal (Cleanest Option)

If you know your team will grow during the coming year, increasing your licence count at renewal is the most efficient approach:

  • All licences — existing and new — are billed on a single annual invoice
  • No pro-rated calculations
  • Clean accounting — one payment covers the full team for the full year

Mid-Cycle (When You Cannot Wait)

When a new employee joins mid-year, they need their licence immediately. The pro-rated charge covers the new licence from the activation date to the end of the current annual cycle. At the next renewal, they renew with everyone else on the full annual rate.


The Process — How Cloudfy Systems Adds a Microsoft 365 User

Step 1 — Licence Purchase

Contact Cloudfy Systems with the details: the new user's name, desired email address and which Microsoft 365 plan they should be on. We confirm the pro-rated cost in INR before processing, then purchase the licence through the CSP admin portal.

Step 2 — User Account Creation

Once the licence is in place, the user account is created in the Microsoft 365 admin centre (admin.microsoft.com). The account is assigned the purchased licence, and the user receives a welcome email with temporary sign-in credentials.

Step 3 — Device Setup (if applicable)

For Business Standard or Premium users who need the full Office desktop apps, the Office installer is downloaded from office.com after signing in. For Premium users, device enrolment in Intune or onboarding to Defender for Business is handled separately as part of the security configuration.


Removing Users — How It Affects Billing

When an employee leaves:

Immediately: Suspend or block the account in the Microsoft 365 admin centre to prevent access. On annual commitment plans, the licence is not immediately cancelled — it continues to the end of the annual cycle.

At renewal: Remove the licence from the count so it is not renewed. This is the standard approach. The departing user's mailbox data can be converted to a shared mailbox (which does not require a paid licence) for archive access by the remaining team.

Mid-cycle licence removal: Possible in some CSP scenarios, with credit applied to the next billing cycle rather than a refund. Cloudfy Systems advises on whether mid-cycle removal or waiting for renewal is the better approach in each specific case.


What Cloudfy Systems Checks Before Adding a Licence

When a user addition request comes in, we check three things before processing:

Available licences: Microsoft 365 accounts sometimes have unassigned licences — from a previous user whose account was deleted but the licence was not removed from the subscription. If an available licence of the right plan already exists, we assign it to the new user at no additional cost rather than purchasing a new one.

Renewal proximity: If your annual renewal is within 4 to 6 weeks, adding mid-cycle versus waiting and adding at renewal may make more sense financially. We advise on this before processing.

Plan fit: If the new user's role is different from the existing team — a field worker versus an office user, for example — we confirm whether the same plan is appropriate or whether a lower-cost plan like Basic or F3 would be a better fit.

How quickly can a new user access Microsoft 365 after the licence is purchased?

The licence is typically active within 1 to 2 hours of the CSP purchase. Once the user account is created and the licence assigned, the user can log in to Outlook on the web, Teams and OneDrive immediately.

Can I add a user to a different plan than my existing users?

Yes — Microsoft 365 supports mixed plan assignments within the same tenant. A new hire can be assigned Business Basic while the rest of the team is on Business Standard, or vice versa.

What happens to a former employee's email and files after their licence is removed?

When a user's licence is removed, they lose access to Microsoft 365 services. Their mailbox is retained for 30 days by Microsoft before permanent deletion. During this window, the mailbox can be converted to a shared mailbox (which does not require a paid licence) to preserve the email archive. OneDrive files are retained for 180 days before deletion.
