When to Upgrade from Business Basic to Business Standard

Business Basic was designed for teams where work happens in a browser — Outlook on the web, Teams, OneDrive and SharePoint. For many small Indian businesses setting up Microsoft 365 for the first time, Basic is a reasonable starting point.

The trigger for upgrading to Standard is almost always the need for desktop Office applications.

Your team needs Word, Excel or Outlook installed on their PCs or Macs. Business Basic does not include desktop app installs. If even one team member needs a full Outlook desktop client, a local Excel with complex pivot tables, or Word with advanced formatting tools — Standard is the minimum plan that covers it. Standard allows installation of Office apps on 5 PCs or Macs, 5 tablets and 5 mobile devices per user.

Your team works offline or on unreliable connections. Web-based Office apps require a stable internet connection. In parts of India where connectivity is inconsistent, desktop apps with OneDrive sync provide local access to documents and email even during outages. Outlook desktop caches email locally; Word and Excel work entirely offline.

Your team has power users who push beyond web app limitations. Excel Online has feature limitations versus the desktop app — complex macros, certain chart types and advanced data analysis tools are desktop-only. If your finance or operations team relies on advanced spreadsheet functions, Standard is the right plan.

When to Upgrade from Business Standard to Business Premium

Business Standard covers the majority of Indian SMBs well. Premium becomes the right plan when IT security and compliance become operational requirements — not aspirational ones.

You need endpoint protection across company devices. Microsoft Defender for Business is included in Business Premium. It provides endpoint detection and response (EDR), automatic investigation and remediation, and centralised security management across all Windows and macOS devices in your organisation — managed from the Microsoft 365 Defender portal. If your team is handling client data, financial records or sensitive business information on devices that are not currently protected by endpoint security, Defender for Business addresses this directly.

You need mobile device management. Microsoft Intune is included in Business Premium and allows your IT administrator to manage all devices accessing company data — enforce PIN requirements, remotely wipe a lost device, push security policies and control which apps can access company email and files. For teams where staff use personal phones and laptops to access company resources, Intune provides the governance layer that Basic and Standard do not.

You need Azure AD Premium P1 features. Business Premium includes Azure AD Premium P1, which enables conditional access policies — rules that determine under what conditions a user can access Microsoft 365 resources. Examples: block access from countries your business does not operate in, require compliant devices for access to SharePoint, enforce MFA for all external access while allowing password-only from office networks. These controls are simply not available on Standard.

You are preparing for an audit or certification. Microsoft Purview (included in Premium) provides data loss prevention (DLP) for Exchange and SharePoint, compliance manager, eDiscovery and audit logging. For businesses pursuing ISO 27001, SOC 2, or operating in regulated industries such as healthcare, financial services or legal, these are compliance requirements rather than optional features.

Cost difference: ₹1,060/user/month above Standard. For a 10-user team: ₹1,27,200/year additional. Evaluate against the cost of a separate endpoint protection tool (typically ₹30,000 to ₹80,000/year for 10 devices) and a separate MDM solution.


How Plan Upgrade Billing Works

Upgrading Mid-Cycle

If you upgrade before your annual renewal date, Microsoft (or your CSP partner) applies pro-rated billing:

  • You are charged the difference in plan price for the remaining days of your current annual cycle
  • The pro-rated charge is calculated daily based on the price difference
  • At your next annual renewal, you pay the full new plan rate

Example: 6 months into a Business Standard subscription for 10 users, upgrading to Business Premium:

Pro-rated charge: ₹1,060/user/month × 10 users × 6 remaining months = ₹63,600 for the mid-cycle portion (before GST), then full Premium rate at renewal.

Upgrading at Renewal

The cleanest approach — the new plan rate applies from the start of the new annual cycle. One invoice, no pro-rated calculations. If your renewal is within 60 days, we typically recommend waiting for renewal unless there is an immediate security or operational need.

Frequently Asked Questions

Can I upgrade just some users and keep others on a lower plan?

Yes — unlike Google Workspace, Microsoft 365 allows mixed plans within the same tenant. You can have some users on Business Basic and others on Business Standard or Premium. The admin console manages this through licence assignments per user.

Can I downgrade after upgrading?

Downgrading mid-cycle removes access to the upgraded plan features immediately. Timing a downgrade at renewal is cleaner and avoids disruption. If you downgrade mid-cycle, credit for the remaining term is typically applied to the next billing cycle rather than refunded.

How long does the upgrade take?
