Step-by-step PTZ camera setup guide for Indian conference rooms — physical mounting, USB and RS-232 connectivity, Zoom/Teams integration, camera presets and testing checklist.

PTZ (Pan-Tilt-Zoom) cameras are the professional choice for large conference rooms, boardrooms, training rooms and auditoriums in India. Unlike all-in-one video bars, PTZ cameras offer optical zoom, full 255°–360° pan range, precise tilt control, and integration with AV control systems via RS-232 or IP. But they require proper installation — mounting position, cable routing, control configuration and UC platform integration all affect performance.

This guide covers the complete PTZ camera setup process for Indian conference rooms in 2026, using AVer cameras (CAM520 Pro3, CAM540, TR313V2) as reference examples.


Before You Start — What You Need

Hardware:

  • PTZ camera unit (AVer CAM520 Pro3, CAM540, CAM570, or TR313V2)
  • Separate microphone/audio system (PTZ cameras do not include a microphone)
  • Display (65"–86" commercial display, or dual display for large rooms)
  • Compute unit (PC, NUC, or room system running Zoom/Teams/Webex)
  • USB 3.0 cable (provided, max 5 metres), or USB extension cable for longer runs
  • HDMI cable (optional direct output for local display)
  • RS-232 cable (if using AV control system integration)
  • Camera mounting bracket or ceiling mount (check if included with camera)
  • POE network switch (for IP-controlled PTZ cameras)

Software/accounts:

  • Zoom, Teams, Webex or other UC platform account
  • Camera control software (AVer PTZApp or web interface for IP control)
  • AV control system software (Crestron, AMX, QSC — if applicable)

Step 1 — Camera Placement

Camera placement determines everything — get this wrong and no amount of configuration fixes a bad image.

Placement Principles

Height: Mount the camera at the same height as participants' eye level (seated), or slightly above (5–15° downward tilt). For a standard meeting table where participants are at 120–135cm seated eye level — mount the camera at 130–145cm. For ceiling mounts (inverted) in large rooms, mount at 2.5–3m height with a significant downward tilt.

Position relative to display: Mount the camera directly above, below, or to the immediate side of the primary display. Participants looking at the display will appear to look at the camera — minimising the "off-camera look" that happens when the camera is far from where participants are looking.

Distance from participants:

  • For USB PTZ cameras (no optical zoom): maximum recommended distance is 5–6 metres
  • For 12× optical zoom cameras (CAM520, CAM540): works at distances up to 12 metres
  • For 30× optical zoom (TR313V2): works at distances up to 30+ metres (auditoriums)

What to Avoid

  • Camera lower than table level (looking up at participants — unflattering angle)
  • Camera far to the side of the display (participants look away from camera)
  • Camera in a glare zone (window behind participants creates silhouettes)
  • Camera mounting on an unstable surface (the slightest movement shifts the preset)

Step 2 — Physical Mounting

Wall Mount (Standard)

Most AVer cameras include a wall mount bracket. For standard installation:

  1. Mark the mounting position (measure twice — use a spirit level)
  2. Drill pilot holes — M6 bolts for concrete/brick; toggle bolts for drywall
  3. Attach the mount to the wall — torque to the bracket specification
  4. Attach the camera to the mount using the camera's 1/4" or 3/8" thread
  5. Adjust the mount angle — most brackets allow ±15° horizontal and ±5° vertical adjustment
  6. Tighten all fasteners

Important for India: Use stainless steel or zinc-plated fasteners in coastal regions (Mumbai, Chennai, Kochi) to prevent corrosion. Standard carbon steel fasteners rust in high-humidity environments.

Ceiling Mount (Inverted)

For inverted ceiling mounting:

  1. Enable inverted mounting in the camera menu: Settings → Installation → Ceiling Mode
  2. The pan/tilt direction reverses automatically in ceiling mode
  3. Use a ceiling-rated mount — standard wall mounts are not designed for inverted loading
  4. Safety cable: attach a rated safety cable from the camera to a structural ceiling anchor — mandatory for commercial installations

Camera Orientation After Mounting

After physical mounting, verify:

  • Camera is level (not tilted sideways)
  • Camera lens is facing the participant area, not the wall or ceiling
  • No objects obstruct the camera's pan/tilt range (cables, brackets, overhead lighting)
  • USB and power cables have enough slack for full pan/tilt movement without strain

Step 3 — Cabling

USB Connection (Standard, up to 5 metres)

The AVer CAM520 Pro3, CAM540 and most PTZ cameras include a USB 3.0 cable. Connect:

  • Camera USB-A (or USB-B) → Computer USB 3.0 port

For distances beyond 5 metres:

  • Use an active USB extension cable (powered, up to 20m) or
  • USB-over-CAT6 extender (up to 50m via network cable)
  • NDI network (for TR313V2 — streams video over Ethernet to any PC on the network)

Indian installation note: Run cables through PVC conduit in the wall or false ceiling. Exposed USB cables in Indian conference rooms are frequently caught, damaged, or pulled — conduit protects the investment.

HDMI Connection (Optional Direct Output)

AVer cameras include an HDMI output — connect directly to a local display for a clean local video feed (in addition to the USB output to the computer). Useful for:

  • Showing local camera preview on a room display
  • Feeding a recording device directly
  • Redundant display in case of laptop failure

RS-232 Control (AV Control System Integration)

For integration with Crestron, AMX, Extron or QSC control systems:

  1. Connect a serial RS-232 cable from the camera to the control system serial port
  2. The camera uses VISCA protocol over RS-232 (industry standard)
  3. Configure the control system module with:

Audio placement matters more than most buyers expect. A speakerphone at the table centre picks up all seated participants uniformly. A camera-bar microphone at the display end only picks up participants sitting near it — participants at the far end sound distant.


Commissioning Checklist

Before handing over the room, verify:

Physical:

  • Camera is stable — no wobble after full pan/tilt movement
  • Cables are routed through conduit — no exposed cables
  • Safety cable attached (ceiling mount only)
  • Camera is level (use a phone level app on the lens)

Video:

  • Camera appears in Zoom/Teams as an available camera
  • Full HD or 4K feed confirmed in UC app
  • No image artifacts, black bars, or focus issues
  • Camera presets set and tested — all positions recall correctly

Auto-tracking (if enabled):

  • Walk the full participant area — camera follows correctly
  • Auto-tracking doesn't chase non-participants (HVAC vents, lighting movement)
  • Tracking recovery — verify camera returns to neutral after speaker stops

Audio:

  • Microphone pickup from all table positions confirmed
  • Remote participant can hear clearly — no echo, no background noise
  • Speakerphone/ceiling mic correctly set as the audio device in Zoom/Teams

Control:
