Adding users to Zoho Mail in India is a routine task for any growing business — but the process and cost vary depending on which plan you are on, whether you are within the Free Forever user limit, and where you are in your annual billing cycle. This guide covers the full process.


Free Forever Plan — The 5-User Hard Limit

Zoho Mail's Free Forever plan supports a maximum of 5 users permanently. There is no way to add a 6th user to the Free Forever plan. If your business is on Free Forever and needs to add a 6th person, the entire subscription must move to a paid plan before the new user can be created.

The paid plan does not need to be the most expensive option — Mail Lite at ₹59/user/month covers all 6 (or more) users and adds IMAP/POP3/ActiveSync access that the Free plan lacks.

When moving from Free to a paid plan to accommodate a new user, all existing 5 users also move to the paid plan. The pro-rated charge covers the remaining days in the current period for all users on the new plan.


How Licences Work in Paid Zoho Mail Plans

On paid plans (Mail Lite, Mail Premium, Workplace Standard, Workplace Professional), each user requires a paid licence. The subscription total scales with the number of users.

When a new employee joins, their licence is added to the existing subscription and billing adjusts accordingly.


Cost of Adding a User Mid-Cycle

Adding a user mid-cycle is billed pro-rated for the remaining days in the current annual cycle.

Example — Mail Lite (₹59/user/month), 8 months into the cycle: Remaining term: 4 months Pro-rated charge for 1 new user: ₹59 × 4 = ₹236 + 18% GST = approximately ₹278

Example — Workplace Standard (₹99/user/month), 6 months in: Pro-rated charge: ₹99 × 6 = ₹594 + GST = approximately ₹701

At the next annual renewal, all users — including the new one — renew together at the full annual rate on a single invoice.


Adding Users at Renewal vs Mid-Cycle

At Renewal (Simplest Option)

If you can anticipate new hires for the coming year, adding the expected licences at renewal is the most efficient approach:

  • All licences covered in a single annual invoice
  • No pro-rated calculations
  • One payment covers the full team for the full year

Mid-Cycle (When You Cannot Wait)

When a new employee joins during the year and needs email access immediately, the licence is purchased mid-cycle with a pro-rated charge. Cloudfy Systems processes this and issues a GST invoice the same day.


The Process — How Cloudfy Systems Adds a Zoho Mail User

Step 1 — Licence purchase. Contact Cloudfy Systems with the new user's name and desired email address (e.g. name@yourcompany.com). We confirm the pro-rated cost in INR before processing, then purchase the additional licence through the Zoho partner portal.

Step 2 — User account creation. Once the licence is in place, the user account is created in the Zoho Mail admin console. The new user receives a welcome email with their login credentials and can access their mailbox immediately.

Step 3 — Client setup (if applicable). If the user needs Outlook or another email client configured on their device, Cloudfy Systems provides the correct IMAP/SMTP settings and can assist with the setup remotely.

At renewal: Remove the user from the licence count so they are not renewed. For annual plans, mid-cycle licence removal typically results in a credit applied to the next renewal rather than an immediate refund.
